Employee guide
What should I record if a workplace accommodation is denied?
By Verity Workplace. Information for US workers. Sources checked .
Quick answer: Keep the request you made, the date and recipient, the change you asked for, and the employer response. Record any alternatives discussed and what remains unresolved. EEOC disability resources explain workplace accommodation rules. Whether a denial violates a rule depends on the facts; this guide helps preserve the account and does not decide that question.
How do you start?
Describe the work barrier and the adjustment you requested in your own words. For example: “I asked for [change] so I could perform [task]. I sent the request on [date]. The response was [what was said or done].” Note conversations as well as written replies.
If a different adjustment was offered, record it and your response. If the request is still pending, use that wording rather than calling it a final denial.
What should you document?
Keep the work request and private medical material separate. A complaint summary does not need every detail from a medical history.
- The date, recipient and wording of your request.
- The job task or work barrier you described.
- The adjustment requested and alternatives discussed.
- Requests for additional information and your reply.
- The employer explanation or lack of a reply.
- How the unresolved request affected your work.
Where can I read the rules?
The EEOC publishes disability-related resources for employees and applicants. Use its current guidance or qualified advice to check coverage, accommodation questions and outside reporting options. Do not assume this guide establishes eligibility or an employer violation.
What mistakes should you avoid?
Focus on the request and the response so a reader can follow the process.
- Calling a pending request a completed denial.
- Leaving out an alternative the employer offered.
- Putting unnecessary medical details into an employer-facing summary.
- Assuming a Verity record pauses an agency deadline.
Where Verity fits
Write your complaint in your own words, add the key details, then choose what happens next. Your original record stays private. Nothing is sent to your employer until you review the employer version and choose to send it. Employees can create, keep and download their record for free.
Verity is an independent record service, not a government agency, law firm or emergency service. It does not file for you, choose an agency, give legal advice or guarantee anonymity. You choose whether to share with your employer and whether to use your record elsewhere.
